Who we are (Data Controller)

Rate My Landlord operates as the Data Controller for the personal data processed through this platform. You — the visitor, tenant, or owner using the platform — are referred to as the Data Subject under applicable data protection law (defaulting to GDPR-equivalent standards).

Anonymity guarantee

Your identity is never displayed publicly with a review, and is never shared with property owners or third parties without your explicit consent. Owners who claim properties see only the anonymized review content and platform-generated metadata.

Data we collect

  • Account information: email and authentication credentials managed through our secure auth provider.
  • Review content: property observations, ratings, and any photos or documents you voluntarily upload as evidence.
  • Usage data: anonymous analytics (page views, feature usage) — collected only after you opt in via the cookie banner.
  • Dispute materials: documents and statements submitted during dispute resolution, accessible only to admins and involved parties within the mediation interface.

How we use your data

In accordance with applicable data protection law (defaulting to GDPR-equivalent standards), we process anonymized building performance data to provide and improve the platform and to generate aggregated, postal-code-level neighborhood and building insights. This is justified as a Legitimate Interest: maintaining a trustworthy housing-quality signal benefits both tenants and the wider rental ecosystem, and the processing is limited to anonymized, aggregated outputs that cannot identify any individual.

  • To display anonymized property insights and ratings publicly.
  • To enable verified owners to manage properties and respond to feedback.
  • To administer the neutral dispute resolution process.
  • To send essential service notifications (verification, dispute updates).

Data monetization — full transparency

We do not sell personal identities. We do not sell, rent, or trade individual user data for marketing or advertising.

We do publish — and may license — Aggregated Building Insights and Sector-Wide Maintenance Trends derived from anonymized, postal-code-level statistics. These outputs contain no per-user rows, no identifiers, and no data that could reasonably be linked back to a specific person. This revenue supports the zero-cost model for residents.

Contributions to these aggregated datasets require your explicit opt-in via the cookie consent manager (“Share anonymized neighborhood trends”). If you decline, your data is not included in licensed outputs.

Your rights

Under GDPR-equivalent, as a Data Subject you have the right to access, rectify, erase, restrict, port, and object to processing of your personal data, and to withdraw consent at any time. You also have the right to lodge a complaint with your supervisory authority.

Data security

We use encrypted connections, access-controlled databases, and regular reviews. No online platform can guarantee absolute security.

Third parties

We use trusted providers for authentication, database hosting, mapping, and (after opt-in) analytics. They are bound by data protection obligations and cannot use your data for their own purposes.

Policy updates

Material changes are communicated via email or platform notice. Continued use after updates constitutes acceptance of the revised policy.
